
Aspire360 is an early-stage startup that helps entrepreneurs build better companies by connecting them with coaches and like-minded peers.
This case study is about an enterprise dashboard that I designed alongside a product team for Aspire360.

CONTEXT
How might we streamline Aspire360’s inefficient workflow and keep coaches motivated?
Aspire360’s current workflow is lengthy and involves a lot of manual processes. This inefficient workflow hinders the company’s member growth potential. Therefore, the UX team was brought on to design a digital solution to streamline and simplify their processes.
OUTCOME
All in one dashboard.
The Aspire360 dashboard encompasses the essential tools needed for the team to manage potential leads, onboard new members, and coach mentees. Users can also track their own financial and professional growth with the company to inspire more drive.
RESEARCH
Complicated processes with an exhaustive amount of back and forth.
To understand the problem space, we looked into their current process of acquiring new leads, onboarding mentees, and managing cohorts.
Key Pain Points
There are too many administrative tasks involved from vetting to onboarding.
The information needed for onboarding and mentorship sessions is scattered across different platforms.
Client management is manually handled by one person with no digital system.

Mark is a representation of Aspire360 coaches. In his endeavor to equip and empower motivated people, he’s often frustrated that he spends too much time on administrative tasks to facilitate the mentorship.

Aspire360 needs a digital dashboard solution to help them streamline their administrative processes and facilitate the mentorship interactions as they grow their portfolio.

Leads Tracker- Coaches can email and manage potential mentees from this page.
Onboarding Tracker-Coaches can manage mentees’ onboarding progress and take actions on each of the onboarding steps from this page.
Cohorts page - Coaches can manage their notes and mentee profiles in corresponding cohorts from this page.
Financials page- Coaches can view their profits history and milestones in this page.
Friendly and consistent visual system
We followed the existing branding guidelines from Aspire360 with the additional principles below.
Curved edges- echo the roundness of the Aspire360 logo and make the overall design more friendly.
Drop shadow- creates a sense of dimension so that elements look like real modules. This also enhances the tactile perception of the user experience.
8pt Grid System- use multiples of 8 to define dimensions, padding, and margin of all elements. This creates a nice visual consistency and rhythm.
IMPACT
A happier user journey
From the previous user journey, we saw a number of pain points around the Research and Prep Work for Sessions sections. However, with the dashboard available to track and organizes coaches’ workflow, we see that many of those steps have moved into a happier state. Some of these steps include giving users the ability to schedule, email, and send things directly from the dashboard without juggling among different platforms.
Usability testing validated the design
We performed two rounds of usability testing with participants from different backgrounds to ensure the fairness of the testing and inclusivity of the design.
The results were positive and validated our decisions. Users found the dashboard to be useful and liked that it was simple to use for productivity and workflow tracking.
Ready to launch...
The design team handed off the internal dashboard and super admin dashboard design in three weeks. Now the developers are working on building the products and expect to ship around November 2020. We will use the Google HEART framework to measure product performance post-launch and continue to iterate as needed.
